About the Role:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to General Manager. The ideal candidate will serve as a reliable right-hand person, managing schedules, handling communication, and ensuring smooth day-to-day operations. This role requires exceptional time management skills, discretion, and the ability to thrive in a dynamic environment.
Responsibilities:
Strategically manage the General Manager’s calendar by scheduling meetings, coordinating appointments, and arranging comprehensive travel itineraries.
Serve as the primary point of contact for the General Manager, professionally managing correspondence, emails, and phone calls with utmost confidentiality.
Prepare high-quality reports, presentations, and documentation tailored for internal and external stakeholders.
Ensure the General Manager is well-prepared for all meetings by providing relevant materials, insights, and briefings in advance.
Act as a liaison between the General Manager and internal/external stakeholders, maintaining clear and effective communication channels.Facilitate interdepartmental coordination to align with the General Manager’s strategic objectives.
Draft, proofread, and finalize professional correspondence to ensure accuracy, consistency, and alignment with the company’s tone and standards.
Plan and oversee logistics for meetings, events, and conferences, including agenda preparation, minute-taking, and post-event follow-ups.
Monitor and track key deliverables, projects, and deadlines to ensure timely and efficient execution.
Conduct research and compile data to provide actionable insights for decision-making and strategic planning.
Maintain a robust system for managing confidential files, contracts, and records to ensure easy access and security.
Optimize administrative workflows by overseeing procurement of office supplies, vendor coordination, and other operational processes.
Identify opportunities for process improvements to enhance organizational efficiency and streamline daily operations.

Job requirements
Requirements:
Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Minimum 3+ years of experience in a similar role, supporting senior executives or general managers.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills in English & Russian.
Strong organizational and multitasking abilities.
High level of professionalism, discretion, and confidentiality.
Excellent problem-solving and decision-making skills.
Strong interpersonal skills with the ability to build relationships at all levels.
Flexibility and adaptability to changing priorities and schedules.
