About the Role:
We are looking for a hands-on IT Network & Systems Administrator to own and manage the company’s IT infrastructure, communication platforms, cloud environments, security posture, and vendor relationships. This role is responsible for keeping all systems running, secure, and optimized from telephony and VPN to cloud servers and office networks. You will work closely with leadership to evaluate new tools, manage vendor contracts, and ensure the company’s technology stack supports a fast-growing real estate operation.
Note: This role does not include software development or programming responsibilities. Development work is handled by a separate team.
Key Responsibilities
Infrastructure, Cloud & Network Security
• Manage and monitor AWS cloud infrastructure including EC2 instances, EBS snapshots, multi-AZ distribution, and disaster recovery procedures.
• Administer UpCloud servers (website hosting, data services) including capacity planning, weekly backups, and scheduled restart jobs.
• Maintain and optimize Cloudflare configurations: DNS records, IP whitelisting rules, SSL certificates, subdomain management, and security policies.
• Manage Vercel-based deployment pipelines and shared hosting environments including email limits, SSL, and subdomain archival.
• Deploy and manage VPN solutions (Tailscale, OpenVPN) for secure remote access to office resources, cameras, and internal tools.
• Configure and maintain office firewall rules, ISP-level configurations, and network troubleshooting across Dubai and Fujairah offices.
• Implement and enforce email security policies: anti-spoofing rules, compliance filters, and email authentication protocols.
• Monitor and respond to security incidents including fraud cases, malicious IP blocking, and phishing attempts.
• Manage office and warehouse CCTV systems: camera configuration, surveillance station administration, and remote access setup.
• Administer smart security devices including digital safes, smart locks, and IoT integrations.
• Evaluate and deploy smart office automation solutions (lighting controls, occupancy systems, mesh WiFi networks).
2. Telephony, Communication & Email
• Administer the company’s 3CX Enterprise VoIP system across Dubai and Fujairah offices (200+ numbers).
• Manage SIP trunk configurations, IVR call flow scripts, dedicated number allocations, and call routing rules.
• Troubleshoot telephony issues across offices and coordinate with providers such as Twilio and SIP trunk vendors.
• Support AI-enhanced telephony initiatives including IVR privacy systems and CRM- integrated caller routing.
• Administer Google Workspace for 210+ users: account provisioning/suspension, security policies, chat history enforcement, and bulk operations.
• Manage group email infrastructure (~20+ groups): access controls, member management, • Maintain internal collaboration spaces (department and cross-department) and support bot integrations.
• Coordinate platform migrations (e.g., between messaging and collaboration tools) including user onboarding and training.
• Manage email marketing infrastructure: domain verification, authentication protocols, and mailing list hygiene.
• Oversee email validation pipelines for marketing and data lists to maintain deliverability standards.
• Plan and execute transactional email migrations for reliability, with archival solutions for legal compliance.
3. CRM, Compliance & Business Tools
• Administer HubSpot CRM: user access controls, pipeline governance, ad source reconnections, workflow monitoring, and property management.
• Manage WhatsApp Business API integrations with HubSpot inboxes (Meta Business verification, OTP processes).
• Oversee OTA (Airbnb, Booking.com) connectivity through Make.com and Zapier automation scenarios.
• Support integration of tracking and attribution tools: tag management, ad tracking pixels, ad fraud protection, and call attribution systems.
• Support KYC/OCR platform evaluation and integration for guest and landlord identity verification.
• Assist in designing compliance workflows: secure document storage, automated PII redaction pipelines, and audit trails.
• Implement privacy systems for landlord contact information (masked email forwarding, IVR- based number privacy).
• Deploy and manage self-hosted AI platforms (OpenWebUI with OpenAI API) for internal team use.
• Configure GPT-4o/GPT-5 model access, user provisioning, and usage policies for managers and supervisors.
• Evaluate AI solutions for operational use cases (occupancy detection, automated review generation, email classification).
4. Vendor Management, IT Operations & Support
• Evaluate, procure, and manage IT vendors and service contracts across telephony, compliance, SaaS, and infrastructure.
• Conduct software cost audits and optimize license spending (remove unused seats, cancel redundant subscriptions, flag idle resources).
• Manage vendor disputes and accountability (track deliverables, enforce SLAs, handle refund/escalation processes).
• Coordinate with external teams (ad agencies, freelancers, hosting providers) on technical integrations and access handovers.
• Manage password vaults, workspace licensing, and enterprise software accounts.
• Provide day-to-day IT support: account creation, password resets, device setup, and biometric system troubleshooting.
• Manage equipment procurement and setup (projectors, screens, networking gear, smart devices).
• Handle domain management (DNS, email, hosting) for company domains and ancillary sites.
• Coordinate developer transitions: credential handovers, SSH key management, access revocation, and documentation.
• Manage recruitment platform configurations including calendar sync and room booking integrations.

Job requirements
Required Qualifications
• 3–5 years of experience in IT systems administration, network engineering, or infrastructure management.
• Strong experience with AWS (EC2, EBS, VPC, IAM) and familiarity with other cloud providers such as UpCloud or DigitalOcean.
• Hands-on experience managing VoIP/telephony systems (3CX, SIP trunking, Twilio, or similar).
• Proficiency in Google Workspace administration for organizations with 100+ users.
• Solid understanding of DNS management, CDN/WAF (Cloudflare), SSL/TLS, and email authentication protocols.
• Experience with VPN deployment and management (Tailscale, OpenVPN, WireGuard, or similar).
• Familiarity with surveillance systems and basic physical security infrastructure.
• Experience with HubSpot CRM and automation tools (Make.com, Zapier).
• Strong vendor management skills: evaluating tools, negotiating contracts, conducting cost audits.
• Excellent documentation and communication skills.
Preferred Qualifications
• Experience in the hospitality, real estate, or property management industry.
• Familiarity with email marketing infrastructure and email deliverability optimization.
• Knowledge of KYC/compliance platforms and data privacy regulations (UAE-specific is a plus).
• Experience deploying and managing AI/LLM tools (OpenAI API, OpenWebUI, or similar).
• Exposure to IoT and smart office/home technologies.
• Relevant certifications: AWS Solutions Architect, CompTIA Network+, Google Workspace Admin, CCNA, or equivalent.
